Digital Library Application at Andalas University Streamlines Bureaucracy and Improves Student Services in line with SDG 4 (Quality Education) and SDG 16 (Peace, Justice and Strong Institutions)

The development of
an online library clearance application at Andalas University represents a
practical innovation that supports SDG 4 (Quality Education) and SDG 16 (Peace,
Justice and Strong Institutions). By simplifying an administrative process that
is often time-consuming for students, the initiative improves access to
academic services while also promoting more efficient and accountable
institutional governance.
The system was
developed by the Library of Andalas University in Padang, West Sumatra, and was
initiated by Andi Saputra, a senior librarian at the university. It was
designed in response to the bureaucratic difficulties students often face when
applying for a Library Clearance Certificate, especially while they are also
preparing for graduation requirements.
Previously,
students had to go through several verification stages within the library
system before being granted clearance, making the process both energy-consuming
and administratively complex. Recognizing this challenge, the university
introduced the online library clearance application so that students could
manage key parts of the process more independently and efficiently.
Through the
application, students can extend book loans, review their borrowing history,
and register for library clearance through the university’s online catalog
system. The platform also integrates with other university systems, allowing
verification to be conducted more quickly and reducing unnecessary manual
bureaucracy.
The application
preserves academic accountability because students must still fulfill all
required conditions before obtaining clearance. Borrowed books must be
returned, final assignments must be uploaded, and printed final projects as
well as book donations must be submitted before library staff approve the
request.
Through this
digital initiative, Andalas University demonstrates how administrative
innovation can directly improve the student experience while strengthening
institutional effectiveness. The application is more than a technical convenience;
it is a model of how digitalization can reduce bureaucratic burdens and make
university services more responsive, transparent, and student-centered.
